Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Three years in an office/clerical environment required. Experience in a K-12 setting preferred.

Skills Qualifications: Ability to communicate with others in an effective and professional manner; interpersonal skills to work successfully with internal and external contacts; excellent skills in organization and time management; ability to manage multiple projects simultaneously and with limited supervision; professional-level oral and written communication skills; ability to work as an effective team member; ability to follow oral and written instructions quickly and accurately; strong editing and proofreading skills; strong bookkeeping/accounting skills; ability to represent Gwinnett County Public Schools (GCPS) in a positive and professional manner; strong computer skills with a working knowledge of Microsoft Office programs; ability to learn new software packages; flexibility to adjust to meet deadlines; and excellent telephone and public relations skills.

Primary Responsibilities: Assist in the organization, support, and coordination of all aspects of the Accelerated Programs and Gifted Education Office.

1. Perform administrative duties for the Accelerated Programs and Gifted Education Office.
a. Align priorities with those of supervisor.
b. Manage concurrent tasks effectively and ensure that priorities are completed by deadline.
c. Arrange meeting details and develop minutes and follow-up correspondence in a timely fashion.
d. Oversee coordination of program office initiatives and record keeping.
e. Serve as the program office representative for various department, division, and/or district functions.

2. Develop and maintain an effective operating partnership with supervisor.
a. Collaborate with supervisor on supervisor's schedule to ensure deadlines are met effectively.
b. Anticipate and effectively support supervisor's job related needs.
c. Maximize supervisor's time by organizing supervisor's incoming and outgoing materials effectively.
d. Help supervisor cultivate a responsive, customer centered climate.
e. Represent supervisor in professional manner with internal and external contacts.

3. Perform clerical duties for the Accelerated Programs and Gifted Education Office.
a. Maintain an effective and efficiently run office.
b. Arrange Gifted Endorsement program and develop follow-up correspondence in a timely fashion.
c. Apply software and technology appropriately to produce quality documents and materials.
d. Maintain an appropriate production rate and streamline routine tasks to manage time effectively.
e. Efficiently organize work area and work in progress, to include testing room, testing materials, and school test request processes.
f. Maintain records and files related to efficient oversight of Governor's Honors Program.
g. Collaborate with supervisor to develop efficient processes and communications between Accelerated Programs Office and Governor's Office of Student Achievement, as well as between Accelerated Programs Office and the district's high schools.

4. Perform financial and accounting duties for the Accelerated Programs and Gifted Education Office.
a. Prepare and maintain accurate and timely payroll/financial records and reports.
b. Assist in monitoring monthly budget print outs and submit balance for each line item to supervisor on a monthly basis.
c. Assist in reconciling monthly purchase card statement and submit documents for each line item to supervisor on a monthly basis.
d. Assist in developing budget amendments and travel requests and review for accuracy.
e. Assist in preparing annual budgets.
f. Utilize district process and application for procurement of department supplies and materials.
g. Submit miscellaneous payroll as needed.

5. Communicate with other people in a businesslike, courteous, and efficient manner.
a. Cooperate with and maintain a positive relationship with division, department, and program office staff and with all other school system employees.
b. Support supervisor by being knowledgeable of department programs, procedures, and information needed to assist in program office functions.

6. Establish effective public relations.
a. Represent the division, department, and program office professionally in all aspects of communication.
b. Serve as the first line customer service contact for the Accelerated Programs and Gifted Education Office.
c. Handle internal and external contacts, including the public, graciously and effectively.
d. Establish a professional reputation as businesslike, courteous, and responsive to customer needs.
e. Link internal and external contacts requesting information with appropriate personnel.

7. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
