This position is responsible for oversight of all state and federal special education reporting, data collection, compliance requirements, activities oversight, and procurement for the Special Education Department. This position is also responsible for all planning, training, and execution of ACCESS related activities in compliance with regulations.
Essential Funtions

• Assists the Director of Special Education with overseeing the management of the office completing related tasks to include calendar management, department procurement and ensure timely communications of all inquiries of the department.
• Assist the school psychologist staff with scheduling meetings and evaluations, securing additional evaluation documents, and communicating and providing documents to parents and guardians.
• Assist with the early intervention program by entering paperwork, issuing perms, and working with the intermediate unit on intents to register and submission of paperwork.
• Oversees the receipt and transfer of department documentation from parents and guardians, other school districts and LEAs, and district staff.
• Oversees the processing and inputting of department documentation into appropriate department systems and appropriate filing. Maintain all department files. Process enrollments and withdraws of students receiving services within the department and district.
• Onboard new department staff as to department processes, utilization of software and systems and submission of required documentation.
• Serve as department help desk providing assistance with utilization of department-specific software and systems.
• Assist with coordination and planning of Extended School Year program. Process and track participation notifications and schedule appropriate staffing and program building locations.
• Maintain master files on ACCESS, including a database to track Medical Access eligibility, parental consents, parental consents, and staff credentials. Secures physician consent to bill.
• Conducts staff training in the process of completing service logs.

Minimum Training and Experience Required to Perform Essential Job Functions

• Bachelors d egree preferred with 5-7 years prior experience in the field of education, or equivalent work experience.
• Experience with state and federal reporting, program oversight and monitoring requirements; and experience with database management and data entry
• Experience/background in ACCESS billing and reporting
• Ability to do job responsibilities with minimal supervision and ability to schedule time to meet deadlines
• Ability to manage information in Microsoft software and Google applications
• Ability to concentrate on the accuracy of detailed information, meet deadlines, multi-task, and work under pressure
• Ability to exercise judgment for when to act independently and when to refer situations to a supervisor
• Ability to work flexible hours and schedules
• Salary Range: $53,983 - $75,575 (Zone VI)
