OCCUPATIONAL SUMMARY

This position provides logistical and programmatic support for the Duke Program in American Grand Strategy (AGS), including AGS participation in the America in the World Consortium (AWC), and for the Counterterrorism and Public Policy Fellows Program (CTPP). Primary supervision will be via the Associate Director of the Program in American Grand Strategy.

The Program in American Grand Strategy seeks to create the next generation of strategic leaders through interactive learning opportunities including interaction with current and former policymakers, crisis simulations, field trips and staff rides, and coursework. As part of this mission, AGS is part of a consortium of schools with similar initiatives dedicated to grand strategy and national security, the America in the World Consortium. This position supports AGS and AWC at Duke and is responsible for assisting in the organization and execution of events and programming.

The Counterterrorism and Public Policy Fellows Program is designed to provide professionals in the national security and counterterrorism fields with an intensive educational experience that will enhance their understanding of the American policymaking process, empower them to operate more effectively at higher level leadership and staff positions, and deepen their understanding of and familiarity with the geographic areas most relevant to the national strategy.

The primary focus of this position will be to coordinate events and programming and to manage regular program communications, including event advertising, social media, and website management. The second focus of this position will be to help the respective program directors with staff or administrative support as needed.

WORK PERFORMED

Programmatic

Work with AGS Director and Associate Director to arrange and support events on and off campus, including a regular lecture series featuring senior policymakers and visiting scholars.

Serve as team lead to develop workplans, coordinate tasks and staff support to ensure successful execution of events and programming.

Arrange student programming, including field trips, domestic and international staff rides, crisis simulations and workshops, and course support. Contribute to developing programs and agendas and identifying potential speakers and special projects. Identify potential participants, manage invitations and responses, coordinate event logistics, undertake required follow-up with participants, service providers, and program stakeholders, and coordinate regularly with program staff and faculty, including tasking staff assistant for event and program support.

Develop and coordinate promotional materials and publicity for programs and events to include drafting press releases, preparing course announcements, designing advertising, posters, and flyers, and preparing newsletters and marketing brochures. Capture images of events for reporting to donors and stakeholders.

Work with Executive Director of Counterterrorism and Public Policy Fellowship program for staff support, event coordination, and other tasks as needed.

Financial

Prepare budgetary recommendations, monitor budgets, prepare financial statements, operational reports, and budget forecasts. Contribute to grant proposals and applications and ensure compliance with funder policies and procedures. Monitor, verify, and reconcile expenditure of budgeted funds as appropriate.

Special Projects

Provide support to selection, recruitment, onboarding, and mentorship of predoctoral and postdoctoral fellows chosen through AWC and fellows in the CTPP program.

Work with AGS Graduate Fellow(s) to identify and manage undergraduate and professional masters student volunteers (AGS Council) to carry out specific tasks.

Work with AGS Graduate Fellow(s), AWC pre-doctoral fellow(s), and AWC post-doctoral fellow(s) to mentor more junior students, especially students seeking undergraduate and professional masters degrees.

Work with CTPP executive director to design and build an outward-facing annual report of activities.

Work with AGS alumni coordinator(s) to ensure the health and growth of the AGS program’s network and foster increased engagements through events and correspondence.

Perform other related duties incidental to the work described herein.

In addition, the successful candidate will possess the following qualities/attributes:

Demonstrated interest in and understanding of US foreign policy and military affairs desirable.

Extensive knowledge and experience in event planning, public relations and marketing campaigns, and social media.

Strong organizational and interpersonal skills.

Ability to work independently as needed.

Flexibility in work hours to support evening events and programming as well as occasional weekends.

Excellent oral and written communication skills.

Capacity to interact well with undergraduates, graduate students, faculty, visiting dignitaries, and prospective donors.

Ability to work successfully with partners locally and remotely.

Demonstrated capacity to manage a complex budget and financial reporting.

MINIMUM QUALIFICATIONS

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires one year of experience in program administration or involving academic, instructional, or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
