Job Description

Position: The ESC Admin Assistant- Secretary-Registrar-School/Family Liaison's

This is a 12 month position

Reports to: Director of Student Services.

EXECUTIVE SUMMARY: Position established for the purpose of providing support to the Department of Student Services within the District with specific responsibility for supporting department staff, providing information and data to employees, supporting and providing information to parents and the community, maintaining records, and completing assigned projects and tasks in an efficient and effective manner. Will be expected to work under limited supervision following standardized practices and/or methods to provide information and/or advice to others.

ESSENTIAL DUTIES AND RESPONSIBILITIES?include the following. Other duties may be assigned.

  • Answer departmental phones for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
  • Greet individuals entering the office and respond to inquiries and/or direct individuals to the appropriate location.
  • Assist families with securing transportation for their children to and from work by working closely with the transportation department.
  • Perform various activities that support grant objectives.
  • Register new students, attend Kindergarten Registration, and assist parents with Infinite Campus Online Verification.
  • Ability to develop a meaningful representation of data.
  • Perform record keeping and clerical functions, including maintaining electronic records that support the Director of Student Services.
  • Process documents and materials for the purpose of developing and disseminating information to appropriate parties.
  • Respond to written and verbal inquiries from a variety of internal and external sources by providing information and/or direction.
  • Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

QUALIFICATIONS:

· Bilingual Required (English plus a Second Language)

· High School Diploma required. 2 years or more post-secondary education desired

· Strong oral and written communication skills with parents, students, and teachers

· Computer experience working with Word and Excel

· Ability to work with students from a diverse background

· Self-starter

· Ability to multi-task

· Experience working in a team atmosphere

· Strong organizational skills

· Must have reliable transportation

· Candidates must be skilled in the area of customer service and have experience and the ability to work with people from diverse backgrounds.

WORKING CONDITIONS

While performing the duties of this job, the employee is frequently exposed to indoor and outdoor conditions. While performing the duties of this job, the employee is required to frequently walk, stoop, bend, and sit. The noise level in the work environment ranges from mild to loud.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

Normal office physical demands. May periodically have moderate physical demands and may be required to lift up to 50 pounds occasionally. The noise level in the work environment is usually moderate. Generally, the employee works inside.

OTHER DUTIES AS ASSIGNED

Will perform other duties as may be assigned by the superintendent or designee, necessary and appropriate to the achievement of the program and/or District goals and objectives.
