Description Position Title: Administrative Assistant
Department: Administrative
Reports To: Director of Human Resources
Salary in accordance with the Act 93 agreement

Purpose of Position
Assists in the general administration of the Human Resources Department and assists in coordinating compliance activities/requirements for all district personnel.
Essential Duties and Responsibilities:
  • Performs administrative duties to support the responsibilities and operation of the Human Resources Department. Monitors the general human resources email inbox and appropriately responds or forwards communication for response.
  • Maintains active employee personnel files by ensuring all necessary documentation is maintained. Files all employee related documentation and correspondence. Assists employees with requests for review of personnel files and copies of documentation. Maintains the document management system for inactive employee personnel files by scanning and logging files for retrieval. Establishes or maintains existing online and hard copy filing systems appropriate for office environment, in accordance with standardized records management procedures to facilitate retrieval and access. Maintains classified or confidential materials in accordance with security procedures; and transfers and discards files in accordance with established business procedures and schedules.
  • Assists with the maintenance of employee systems for demographic data and input of new employees. Serves as the backup with onboarding of new employees and provides assistance due peak hiring season.
  • Prepares and issues correspondence and other related documentation to appropriate individuals based upon approved Board agenda actions. Prepares appropriate contract documentation for issuance to appropriate employees. Tracks returns of all necessary documentation.
  • Completes the procurement process for the department. Enters requisitions, purchase orders, and submits invoices for payment processing. Maintains inventory of supplies for the office and submits orders, as needed.
  • Assists with the completion of verification of employments forms and requests for information, as necessary.
  • Facilitates the design and implementation of assigned duties, activities, services and programs to meet specific needs and responsibilities of the District and department. Makes recommendations concerning the administration and implementation of activities related to the District and department.
  • Provides general human resources support, information, assistance and services to principals, administrators, and staff.
  • Uses computer/technology skills in performance of duties, such as use of the Internet, accessing databases, spreadsheet design, desktop publishing and creation of forms. Updates skills to ensure ability to use technology effectively and implement new practices and procedures as they are developed.
  • Interacts with others in a positive and professional manner
  • Abides by federal, state and local school laws and regulations, mandated programs, district policies and administrative regulations and applicable collective bargaining agreements with district employees. Maintains confidentiality with all District and School Board information, including District and school population information.

Minimum Training and Experience Required to Perform Essential Job Functions
  • High School Diploma (required) and an Associate's Degree in a related field is preferred;
  • Experience - minimum 2-3 years preferred; prior and relevant experience, and proven knowledge of administrative/executive secretary duties and responsibilities
  • Ability to communicate effectively, to organize tasks, to handle multiple tasks, and to exercise good judgment.

  • Ability to manage information in Microsoft software and Google applications.
  • Ability to exercise judgment for when to act independently and when to refer situations to a supervisor.
  • Ability to work flexible hours and schedules.
  • Salary Range: ?In accordance with the Act 93 agreement; starting at $37,277 depending on experience
