Job Description Summary

The Department of Surgery, Division of Education, is actively recruiting for an Administrative Assistant. The Education Administrative Assistant is responsible for administrative duties that will assist the student, resident, and fellowship programs in the Department of Surgery as directed by the Vice Chair of Education. This person will work closely with the Education Program Coordinators and trainees to ensure ACGME program and society program compliance.

Job Description

Pay Range:

$31,561.00 - $44,977.00 - $58,393.00 (min - mid - max)

Job Duties:

  • 25% - Provide administrative support to the Undergraduate Medical Education Coordinator. Duties to include but not limited to: (1) Administrative tasks: Emails, calendar invites, Input schedules into Med Hub, Uploads data to Brightspace, track attendance& evaluation compliance (2) Order exams and proctor students during test (3) Collect/distribute parking passes to preceptors (4) Order and monitor supplies, place food orders.
  • 25 - Assist faculty from all clinical surgical areas to facilitate the planning and implementation of simulation lab sessions. 
  • 20% - Monthly reviews including duty hours, evaluation completion, and VA credentialing. Pull the data from various computer software systems and analyze against standards. 
  • 15% - Assist with program functions such as orientation, interviews, mock orals including preparatory documents. Schedule rooms and other handle planning. 
  • 5% - Coordinate and track deliverable resources for learners. This includes meal vouchers, radiation badges, and other deliverables. Tracking includes follow-up with the learners to ensure complete distribution and resource attainment. 
  • 5% - Maintain a database tracking learner and program metrics such as attendance and certifications. Input data collected by email or attendance sheets into computer software programs. 
  • 5% - Perform administrative tasks such as scanning resident files and other documentation

MUSC Minimum Training and Experience Requirements:
A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification. Some positions require eligibility for bonding.

Preferred Experience:

A bachelor's degree is preferred. Works independently with minimal supervision. Must exercise judgment and discretion. Establish and maintain effective working relationships. Must be able to communicate effectively and be proficient with Microsoft Office Suite.
