Job Description

The guidance office clerk supports the counseling department by managing student records, scheduling appointments, and assisting with daily office operations.

Responsibilities include maintaining accurate academic and transcript records, processing student requests (such as schedule changes and documentation), answering phones, and greeting students and parents.

The clerk also assists counselors with clerical tasks, coordinates communication, and ensures confidentiality while supporting a professional and student-centered environment.

The front office clerk serves as the first point of contact for students, parents, staff, and visitors, ensuring a professional and welcoming environment.

Responsibilities include answering phones, greeting and assisting visitors, managing student check-in/check-out and attendance documentation, maintaining accurate records, and providing general administrative support to school leadership and staff.

The clerk also assists with communication, distributes information, and helps ensure the smooth daily operation of the school office while maintaining confidentiality and professionalism at all times.

PRIMARY PURPOSE:

Assist in establishing and maintaining smooth and efficient general office procedures, filing and recordkeeping systems, and written and oral communications for the office.

MINIMUM QUALIFICATIONS:

  1. High school diploma or equivalent.
  2. Proficient in business English, spelling, mathematics and office practices.
  3. Ability to work professionally with the public and others, both in person and over the phone.
  4. Excellent computer skills including but not limited to Word, Excel, Microsoft Office and office machine proficiency.

DESCRIPTION OF DUTIES:

  1. Provide daily administrative support by performing a variety of secretarial/clerical function
  2. Effectively communicate with supervisor to ensure that attention is given to pertinent matte
  3. Follow instructions and operate within the limits of standard practices and procedure
  4. Assist in maintaining efficient office operations by providing clerical relief as neede
  5. Interact effectively with the general public, staff members, students, teachers, parents and administrators.
  6. Competency in the use of technology based resources including computers, faxes, printers, productivity software, such as Internet use, word processers, spreadsheets, email, as well as understanding the concepts of data management and system security.
  7. Maintains a system to handle pending items of business to ensure accurate completion and follow through on assignment
  8. Assist in the operation and maintenance of all office machines and equipment to promote efficiency.
  9. Compose correspondence, memos, reports, budgets, handbooks and other materials as neede
  10. Record, route or distribute written and oral correspondence to appropriate personnel.
  11. Maintain data, statistics and other information with regard to employees and/or students as require
  12. Document and process employee and student attendance records as require
  13. Places orders for the procurement of needed materials and equipment as directe
  14. Possess and maintain valid and appropriate license, certificate and/or credential as may be required for this position.
  15. Follow work scheduling and attendance requirements in a regular, predictable and punctual manne
  16. Participate in training programs to improve skills and proficiency related to the assignment.
  17. Review current developments, literature and technical source information related to job responsibility.
